1. WHO WE ARE

RetailerSoft, Inc. ("RetailerSoft," "we," "us," or "our") is a software company headquartered in the United States. We develop and support Margin Master, a retail pricing and margin management application, along with related services available at retailersoft.com and marginmaster.com.

2. INFORMATION WE COLLECT

Account & Contact Information

When you purchase a license or create an account, we collect your name, business name, email address, phone number, and billing information necessary to fulfill your order and provide support.

Store & Organization Data

Margin Master collects store identification numbers, organization membership details, and vendor pricing data that you provide or that is transmitted automatically by the software during normal operation. This data is used exclusively to deliver the service to you.

Usage & Diagnostic Telemetry

The software periodically transmits statistical and diagnostic information to RetailerSoft to support troubleshooting, software improvement, and training. This information does not include your pricing decisions or personally identifiable financial data beyond what is described in this policy. (See also Section 8 of the License Agreement.)

Support Communications

When you contact us for support — by email, through the support portal, or via the in-app support tools — we retain the content of those communications, including any attachments, to resolve your issue and improve our service.

AI-Assisted Processing of Support Communications

To respond faster, we may use a third-party artificial intelligence service to reformat, summarize, classify, and route support emails and issue descriptions. Only the text of the communication is sent for that purpose; it is used to process your request, not to train the provider's models, and the provider is contractually restricted from using it for any other purpose.

Website Usage Data

Our websites collect standard server log information (IP address, browser type, pages visited, referring URL) to operate and secure the sites. We do not run third-party analytics or advertising trackers, and we do not use this data for advertising profiling.

3. HOW WE USE YOUR INFORMATION

We use the information we collect to:

• Deliver, activate, and renew your software license
• Provide technical support and respond to inquiries
• Send renewal reminders, invoices, and transactional communications
• Diagnose software issues and improve product quality
• Maintain the security and integrity of our systems
• Comply with legal obligations

We do not use your information for targeted advertising, and we do not sell your personal information to third parties.

4. SHARING OF INFORMATION

We do not sell, rent, or trade your personal information. We may share information in the following limited circumstances:

• Service providers: Trusted vendors who act on our behalf under confidentiality agreements. Today these fall into five categories: cloud hosting and storage (Microsoft Azure), email delivery (Microsoft 365), remote support sessions (BeyondTrust/Bomgar), payment processing, and AI-assisted processing of support communications as described in Section 2.
• Your cooperative or buying group: When required to verify your membership or license entitlement, we may confirm organizational affiliation with your parent cooperative or buying group.
• Legal requirements: When required by law, court order, or to protect the rights, property, or safety of RetailerSoft or others.
• Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

5. DATA RETENTION

We retain your account and license information for as long as your license is active and for a reasonable period thereafter to fulfill legal and business obligations. Support communications and diagnostic data are retained as necessary for quality assurance and are periodically purged.

6. DATA SECURITY

We use industry-standard technical and administrative safeguards to protect your information, including encrypted data transmission (HTTPS/TLS) and access controls. No method of transmission over the Internet is completely secure, but we take reasonable precautions to protect your data. If we learn of a security breach affecting your personal information, we will notify you as required by applicable law.

7. COOKIES

Our websites use essential cookies required for authentication and session management. We do not use third-party advertising cookies. You may configure your browser to refuse cookies, but this may affect the functionality of authenticated areas of the site.

8. YOUR RIGHTS & CHOICES

You may contact us at any time to:

• Request access to or correction of personal information we hold about you
• Request deletion of your account information (subject to legal retention requirements)
• Opt out of non-essential communications

9. CHILDREN'S PRIVACY

Our products and services are intended for business use by adults. We do not knowingly collect personal information from children under the age of 13.

10. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top of this page. Continued use of our software or services after the effective date constitutes acceptance of the revised policy.

This policy is incorporated into our Website Terms of Use and the Margin Master License Agreement.
